Create or delete a note

In Microsoft Office Live Workspace beta, you can use notes in your workspace to record research or project information, or to plan projects and brainstorm with your team. You can view your notes from any computer that has an Internet connection — you don't need Microsoft Office Word or any other text editor to view your notes.

Create a note

You can create notes in any of your workspaces. To create a note:

  1. In Office Live Workspace, on the left navigation bar, click Documents or the name of any workspace listed under My Workspaces. If you want to create your note in a folder, click the name of the folder to open it.

  2. On the actions bar, click New, and then click Note.

  3. To change the default name of your note, in the title text box, place your cursor over Note 1, and then type a name for your new note.

  4. Press ENTER when you have finished, or click in the body of the note to add text to your note.

  5. Click beneath the title to add a description for your note. When you have finished typing the description, click in the body of the note to leave the description area.

  6. To save your note, on the toolbar, click Save Save button image.

  7. When you have finished editing your note, on the toolbar, click Close to return to your workspace.

After you create a note, Office Live Workspace provides a direct link to the note that you can bookmark for easy access, share with other people, or use to work with multiple notes at the same time. You can save the link to any of your notes or other documents just as you would save a link to any favorite Web page. Open an existing note

To open a note that you previously created to read or make changes or comments:

  1. In Office Live Workspace, on the left navigation bar under My Workspaces, click the name of the workspace that contains your note. If your note is located in a folder, click the name of the folder to open it.

  2. In the workspace or folder, click the name of the note to open it for viewing.

  3. Note : You can change the name of the note in the workspace or folder list. In the workspace or folder, rest your cursor on the name of the note that you want to change. In the menu that appears, click Rename, and type the new name in the title box.

Move a note to the Deleted Items workspace

When you delete a note, it moves to the Deleted Items workspace, where it stays for 30 days before it is permanently deleted.

To move a note to the Deleted Items workspace:

  1. In Office Live Workspace, on the left navigation bar, click the name of the workspace that contains the note that you want to delete. If the note is located in a folder, click the name of the folder to open it.

  2. In the workspace or folder, do one of the following:

    • Select the check box beside the name of the note that you want to delete. On the actions bar, click DeleteDelete button image.

    • Point to the name of the note that you want to delete, and drag it to Deleted Items on the left navigation bar.

    • Note : When you move a note to the Deleted Items workspace, all comments and sharing rights associated with the note are permanently deleted and cannot be restored later.

Restore a deleted note

After you move a note to the Deleted Items workspace, it remains there for 30 days unless you permanently delete it. If you change your mind about deleting the note, you can restore it to its original workspace location at any time while it is in the Deleted Items workspace.

To restore a note to its original location:

  1. In Office Live Workspace, on the left navigation bar, click Deleted Items.

  2. In the Deleted Items workspace, select the check box beside the name of each note that you want to restore.

  3. On the actions bar, click Restore. The notes are restored to their original workspace location.

    Notes :

    • If you try to restore a note to a workspace that already contains a document with the same name, a warning message appears. Before you can restore your note to the workspace, you must change the name of the existing note or document that has the same name.

    • When you restore the note, any comments and sharing rights that were associated with the note before you moved it to the Deleted Items workspace are not reinstated.

Permanently delete a note

After you move your note to the Deleted Items workspace, the note still occupies workspace storage space. If you see a warning notice at the top of your Office Live Workspace screen that indicates that you have limited storage space remaining, you may want to free up space by permanently deleting notes or other documents that you no longer need.

To permanently delete a note:

  1. In Office Live Workspace, on the left navigation bar, click Deleted Items.

  2. In the Deleted Items workspace, select the check box beside the name of each note that you want to permanently delete. On the actions bar, click Delete.

  3. You are asked to confirm that you want to permanently delete the note. Click OK to delete it.

  4. Note : When you delete an item from the Deleted Items workspace, it is permanently deleted and can no longer be restored.
